RPAS Invoicing

Privacy policy

How the RPAS Invoicing app collects, stores and protects your information.

Who we are

RPAS Invoicing is operated by RPAS CONNECT PTY LTD ("we", "us", "our"), an Australian company. This policy explains how we handle personal information in the RPAS Invoicing app for iPhone and Android. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Information we collect

We only collect what the app needs to work:

  • Your account: your email address and a password (stored only in scrambled, hashed form), or the name and email Apple shares with us if you use Sign in with Apple.
  • Your business details: business name, contact details, address, ABN or other tax number, the payment details you choose to print on invoices (such as bank account or PayID), and your logo.
  • What you record in the app: job cards, quotes, invoices, payments, charges, notes, dates and times, site addresses, and industry details such as vehicle, registration and odometer readings.
  • Your clients' details: the names, emails, phone numbers and addresses you enter for your clients.
  • Your team: if you invite team members, their names and email addresses, and the job cards assigned to them.
  • Sending records: when you send an invoice or quote from the app, who it was sent to and whether it was delivered.
  • Support messages: what you write to us through Contact support, and your email address so we can reply.

We do not use advertising, we do not track you across other apps or websites, and we do not use analytics services that profile you.

Your clients' information

When you enter details about your clients or team members, you decide what goes into the app and why. You are responsible for having their permission to record and send their details, for example when you email them an invoice. We handle that information only to run the app for you, and never contact your clients ourselves.

How we use your information

  • To run the app: storing your records, creating PDFs, numbering documents and keeping your devices in sync.
  • To send the emails you ask the app to send, such as invoices, quotes, sign-in and password-reset emails.
  • To manage your subscription and the limits of the free plan.
  • To reply to you when you contact support.
  • To keep the service secure and working, and to meet our legal obligations.

We do not sell, rent or trade your information, and we do not use it for advertising.

Where your information is stored

Your account and records are stored securely in the cloud with our hosting provider, Supabase, in its Sydney, Australia data centre. Information is encrypted while it travels between your device and our servers, and it is stored encrypted. Each business can only see its own records, and team members only see the job cards assigned to them. A few settings, such as the light or dark theme and whether amounts are hidden on the Home screen, stay on your device only.

Service providers we use

We share information only with the providers we need to run the app, and only what each one needs:

  • Supabase (Sydney, Australia): database, sign-in and file storage.
  • Resend (United States): delivers the invoice, quote, support and account emails you ask the app to send.
  • Anthropic (United States): when you use "Improve wording", "Tidy up", or when a team member's job card is translated into English, that text is sent to Anthropic's Claude service to be rewritten and sent straight back. Anthropic does not use this text to train its models.
  • RevenueCat (United States) together with Apple and Google: manage your subscription. Payments are handled entirely by the App Store or Google Play. We never see or store your card details.

Some of these providers are overseas, so some information may be handled outside Australia. We only use providers that protect personal information to a standard comparable with Australian law.

Photos and files

The app only uses the images you choose, such as your logo. It does not have access to the rest of your photo library. Logo background removal happens on your device.

How long we keep information

We keep your information while your account is open, so your records are there when you need them. Invoices are business records, and you may need to keep your own copies for tax purposes, for example five years in Australia. You can download everything at any time from Settings, Data and backup.

Deleting your account

You can delete your account at any time from Settings, Delete account. For a business owner this permanently removes the business, its clients, job cards, quotes, invoices and logo. For a team member it removes their sign-in, while job cards they completed stay with the business they worked for. Deleted information is removed from our backups as they expire. Deleting your account does not cancel a subscription: do that in your App Store or Google Play account settings.

Your rights

You can view and correct your information in the app at any time, download a copy of it, and delete it. You can also ask us for access to, or correction of, the personal information we hold about you by emailing us. We will reply within 30 days.

Children

RPAS Invoicing is a business tool intended for adults. It is not directed at children, and we do not knowingly collect information from children.

Changes to this policy

If we make a significant change to this policy we will update this page and, where appropriate, let you know in the app.

Contact and complaints

For privacy questions or requests, email admin@rpasapps.com.au or use Contact support in the app. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
